Templates and Documents
Controlled documentation of submissions
The editorial office should release a single identified version of each form and retain earlier versions to interpret historical records.
Templates and forms support consistency, anonymization, traceability, multi-format production, and declaration capture. Each document has a defined purpose; files unnecessary for review, integrity, or publication are not requested.
The editorial office maintains official versions and update dates. Authors use the current version when beginning submission and do not alter styles, structural instructions, or mandatory fields.
Mandatory template
Every manuscript must use the official DOCX template without changing fonts, margins, styles, or mandatory sections. The template uses Calibri 11 and 1.15 line spacing.
Editorial documents
Anonymized manuscript template.
Authorship and affiliation file.
CRediT contribution statement.
Originality and exclusive-submission letter.
Funding, conflict, ethics, data, and artificial intelligence statements.
Response-to-reviewers form.
Supplementary material where applicable.
Version control
Authors must always use the current version available on the official website. Forms must be completed without altering their content and signed where required.
Purpose of the template
The template standardizes information required to assess, edit, convert, and preserve articles. It is not only a visual design: its styles identify titles, abstracts, sections, tables, figures, references, and declarations for PDF, HTML, and JATS XML production. Authors must not imitate headings through manual formatting.
Mandatory structure depends on article type. Removing required sections, changing order without justification, or replacing styles may lead to technical return. Visible template instructions must be deleted before submission.
Submission files
The anonymized manuscript contains the full text without author information. The authorship file records standardized names, affiliations, country, email, ORCID, and corresponding author. Declarations may be incorporated into an editorial form or attached as OJS instructs. Supplementary files use descriptive names and remove unnecessary personal identifiers.
Tables, figures, and appendices must be editable or reproducible at publication quality. Source files are supplied in open or common formats when requested. Third-party material includes permission and attribution; sensitive data are not placed in public supplements.
Updates and control
The valid version is the one available on the site when submission occurs. The journal identifies the date or version of each form and retains previous versions for traceability. If an update creates substantive requirements during review, the editor informs the author and avoids unreasonable retroactive demands.
Incomplete, incompatible, or altered documents are returned with a precise explanation. Technical checking does not assess scientific merit and does not guarantee peer review.
Documents accompanying a submission
Download documents only from the official website.
Complete the anonymized manuscript and separate authorship file.
Attach CRediT, originality, declarations, and applicable permissions.
Name files and supplements clearly and remove identifying metadata.
Ensure tables, figures, and equations are editable and legible.
Submit the reviewer response in the specified format.
Retain versions and replace files without losing traceability.
Identifying versions and forms
An editorial repository of current and earlier versions.
A visible date or version code on each template.
An OJS file containing all required documents.
Records of return for incomplete or altered files.
Updating published forms
Templates are tested before release and after changes to OJS, Word, production, or JATS XML. Spanish and English instructions are checked for equivalence and contradictions with other policies.
Consistency among forms, policies and OJS submission fields
The SIHE file consists of an anonymized manuscript, a separate authorship record, originality and exclusive-review declaration, CRediT statement, funding, conflicts, ethics, data and AI disclosures, and applicable consent or permission documents. Templates carry version identifiers and should agree in Spanish, English and OJS submission screens.
Forms must not request exclusive rights transfers incompatible with CC BY 4.0, nor require public disclosure of identifiable student data. The handling editor may request confidential evidence separately from supplementary files intended for publication.
Identity separation and consistency controls
Authorship forms and signed declarations are kept in editor-restricted files and not shared as double-anonymous review material. Reviewer files exclude names, institutions, signatures and identifying metadata. Before production, editorial staff cross-check authorship, affiliations, ORCID identifiers, funding, titles and abstracts against OJS records.
Supplements and version control
Datasets, questionnaires, protocols, instruments and appendices accompany articles only when their publication is ethically and legally appropriate. Updating a form does not erase earlier decision records. Revised templates apply to new submissions unless an essential ethics or technical change is explicitly communicated to authors.
